DESCRIPTION
The Front Desk Receptionist/Administrative Assistant for the school is responsible for providing professional and courteous service to all visitors, employees, and stakeholders. This role involves managing the front desk area, handling incoming and outgoing communications, and supporting various administrative functions to ensure smooth operations within the central office.
GENERAL DUTIES (May not include all duties performed)
- Greets and assists visitors, ensuring they feel welcomed and directing them to the appropriate departments.
- Operates the telephone switchboard, answering inquiries, forwarding calls, and taking messages.
- Provides general assistance and backup support to other school secretaries.
- Types reports, correspondence, forms, letters, notices, newsletters, receipts, vouchers, and other materials from rough drafts or instructions.
- Maintains weekly and monthly calendars, transportation emergency handbooks, and participates in maintaining masters, registrations, and schedule changes.
- Gathers materials for typing or processing from various sources.
- Utilizes word processing, database management, and spreadsheet software to accomplish tasks.
- Orders, receives, examines, and distributes supplies.
- Reviews and channels mail to the correct destinations.
- Files a variety of documents according to established procedures.
- Collates and mails pamphlets, newsletters, supplements, and other materials.
- Acts as backup for other secretarial staff as required or assigned.
- Answers the telephone, screens and routes calls, and takes messages.
- Assists teachers in arranging parent conferences and provides them with supplies and forms as requested.
- Serves as a receptionist and provides secretarial support for administrators and faculty.
- Delivers messages to teachers or the principal.
- May provide minor first aid and administer students' medications in the absence of a nurse.
- Assists with transitioning children’s records from Woodlawn to the appropriate elementary school.
- Assists with the recruitment process for Virginia Preschool Initiative students and families.
- Performs other duties and special projects as required.
SUPERVISION
Work is performed under the direction and supervision of the Principal, Assistant Principal and other designated staff.
WORK CONDITIONS
The role is primarily based in the central office lobby area, requiring long periods of sitting and standing. The receptionist will interact with a diverse group of individuals, including staff, students, parents, and community members, and must be able to handle high-stress situations and de-escalate conflicts effectively. The position requires adherence to strict security protocols and measures. Work hours are typically during regular school office hours, but flexibility may be required for special events or projects.
